We are looking for an experienced Finance Manager to take ownership of the company’s operational finance function and support the financial processes of an international IT services business operating across the US and Ukraine.
This role combines finance operations, contractor management, payroll coordination, invoicing, compliance, and financial administration. You will work closely with the CEO, Operations team, and CFO, ensuring the stability, accuracy, and scalability of the company’s financial operations. Key ResponsibilitiesFinance Operations & FOP Support: * Full financial and tax support for approximately 50 Ukrainian sole proprietors (FOPs, 3rd group, 5% tax regime). * Preparation and submission of tax reports, tax payment coordination, payment tracking, and ongoing financial support for contractors. * Coordination of FOP registration, liquidation, and updates, including KVED management and registration changes.
Payroll & Contractor Administration: * Preparation of contracts, amendments, onboarding, extension, and offboarding documentation for employees and contractors. * Payroll calculations, vacation compensation, and other contractor-related payments based on approved rates and time reports. * Preparation of invoices and payment documentation for contractors and employees. * Daily communication with team members regarding payroll, taxes, compensation, and financial documentation.
Client Invoicing & Accounts Receivable: * Administration of client financial data within QuickBooks. * Monthly and sprint-based client invoicing based on time reports, approved rates, and contractual terms. * Verification of billing accuracy and financial calculations. * Monitoring accounts receivable and communication with clients regarding outstanding invoices and payment timelines.
Payments & Financial Coordination: * Coordination and execution of international payments from the US entity to Ukrainian contractors and international vendors. * Processing operational payments and expense requests from leadership and operational teams. * Ensuring accuracy of payment documentation, banking details, and payment schedules.
Compliance & Financial Reporting: * Support of KYC/AML procedures with banks and financial platforms including Brex, Payoneer, Wise, Mercury, Revolut, and similar providers. * Collection, preparation, and organization of financial documentation for the US company’s reporting requirements. * Participation in management reporting processes, including revenue and expense consolidation, P&L preparation support, and cash flow tracking. * Close collaboration with the CFO on financial operations and reporting activities.
Requirements: * Strong professional experience in Finance Operations, Accounting, Payroll, or Financial Management roles. * Experience working within IT outsourcing/outstaffing or service-based businesses. * Strong understanding of Ukrainian FOP accounting and taxation. * Experience working with international companies, preferably US-based entities. * Practical experience with QuickBooks or similar accounting systems. * Understanding of management reporting principles, including P&L and Cash Flow. * Experience with international payment systems and financial platforms. * Strong attention to detail, ownership mindset, and ability to manage multiple workflows independently. * Intermediate or higher level of English.
Will Be a Strong Advantage: * Experience supporting US C-Corp structures. * Experience with contractor-heavy operational models. * Experience managing KYC/AML requests and compliance procedures. * Familiarity with Brex, Mercury, Wise, Payoneer, Revolut, Deel, or similar platforms. * Experience building or optimizing finance operational processes.
